Summary
A Task is simply something Kadince needs you to do—approve an entry, confirm your hours, write a response, or check off a to-do on a project.
This guide covers everything you need to know as someone completing tasks day-to-day: what tasks look like, where to find them, how to complete them, and what to do if something looks off.
Looking for the deep-dive? This article covers the essentials. For the full breakdown—including how admins build and automate tasks—see the Tasks Guide.
What's Different?
What's Different?
If you used Kadince before the Enhanced Tasks Engine, most of this will feel familiar—but a few things behave differently now.
What You Used To Do | What's Different Now |
Used Edit Approvers on the entry to change who was approving something | That menu option is gone. Approvers are now task assignees—open the approval task itself (click its task bubble → three-dot menu → Edit → Assignees tab → +) to add or change who's approving |
Called them "Approvers" | Same role, new name: they're now called Assignees |
Clicked a task and always got a task detail pop-up | Some tasks (default system tasks) don't have their own detail screen. Clicking one opens the related record's detail view instead, with the action button (Approve, Confirm Hours, etc.) waiting there |
Picked your approver right on a submission form | Forms no longer ask you to choose an approver at submission |
Saw a fixed Task Table your admin set up | You can now add or remove columns, add filters, and save your own custom views—no admin needed. See Where Do I Find My Tasks? below |
Had one person handle an approval | Some approvals now require more than one person to sign off (or just one of several). Check the Assignees tab on a task to see who else is involved and how many are required |
Reports: Adding Rows/Columns via the Edit button | Reports now let you add columns via the drop-down icon in each column: select Add Column Left/Right |
What Kinds of Tasks Will I See?
What Kinds of Tasks Will I See?
Every task falls into one of two buckets:
General Tasks: a to-do assigned to you, either a default system task (see below) or something custom built by your team.
Approval Tasks: a task asking you to approve, decline, or weigh in on an entry, usually as part of a multi-step approval process.
How to Complete Default Tasks
How to Complete Default Tasks
Some tasks come built into Kadince and clear automatically the moment you take the matching action—you don't need to hunt for a "Mark Complete" button.
Here's the full list:
Task | What Completes It |
Approve | Clicking Approve, Decline, or Suggest Edits |
Confirm Hours | The volunteer clicking Confirm Hours—only the volunteer can clear this one |
Mark As Paid | Clicking Mark as Paid and/or filling in Date Paid and Paid By |
Write a Response | Filling in the Response field on a Complaint, Compliment, or Suggestion |
Respond | Clicking Mark as Responded to and/or filling in Date Responded |
Assign an Owner | Selecting a user in the Owner field |
Assign Approvers | Assigning a Sequence with at least one approval task to the entry |
Review CRA Eligibility | Clicking CRA Eligible or Not CRA Eligible |
Review Account Allocation Errors | Resolving the dollar-amount difference between the total allocation and the Donation amount |
Add Approval Content | Uploading content to a Marketing Project's Approval Content section |
Add a Registration Item | Adding a registration item to an Event |
Associate a Portal | Selecting a portal in an Event's Associated Portal field |
Good to know: meeting the requirement above completes the task—even if it wasn't sitting in your task list waiting for you. Do the thing, and the task disappears on its own.
