Detail Views: The Basics

Learn the basic functionality of the Detail Views feature

Summary

A Detail View is Kadince terminology for the interface users see when they open an entry, such as a Donation, an Event, or a Marketing Project after it is entered/submitted into Kadince. Detail Views are different from forms and oftentimes will show more or less information than what is collected on the form, depending on the detail view layout assigned to that role. All object submission forms, data imports, CatchURL pushes, and API pushes into Kadince become, or update, an entry detail view.

A Detail View is where you can take action on an entry (often referred to as an Entry Detail View), manage tasks, edit details, make/respond to comments, and access activity history.

Once a user role is connected to a specific Detail View, they will be able to see entries in that Detail View's associated object. You must separately customize Detail Views for each object in Kadince, and you can do so by creating and editing them in Settings.

While you can have multiple Detail Views per object to control what users assigned to certain roles see, each user role can only have one assigned detail view per object. A good rule of thumb is: if users need to see different details on an entry, they need different roles so they can have different detail views.

Remember to assign each user role Detail Views for any object they have permission to view, otherwise the entry will appear blank when they access it.


How to Add a New Detail View

  1. Click Settings in the side navigation

  2. Click your desired parent module in the top navigation

  3. Click your desired parent object in the sub-tabs

  4. Scroll to Detail Views

  5. Click the plus (+) icon

  6. Name your Detail View

  7. Click the Submit button

How to Edit a Detail View

  1. Click Settings in the side navigation

  2. Click the entry's parent module in the top navigation

  3. Click the entry's parent object in the sub-tabs

  4. Scroll to Detail Views

  5. Click the title of an existing Detail View

  6. Here you will see three tabs:

    1. Details: Edit the Detail View title and Associated Roles

    2. Layout: Change exactly what users will see in the Detail View

    3. Activity: A log of all activity associated with this Detail View

  7. Click the pencil () icon to make edits

How to Clone or Delete Detail Views

  1. Click Settings in the side navigation

  2. Click the entry's parent module in the top navigation

  3. Click the entry's parent object in the sub-tabs

  4. Scroll to Detail Views

  5. Click the checkbox next to the Detail View title

  6. Click the drop-down arrow () icon in the checkbox header

  7. Select your option:

    1. Clone

    2. Delete

  8. You can also Clone or Delete a Detail View from the Detail View settings

    1. Click the three-dot menu () button in the top right corner

    2. Select Clone or Delete

Note: When deleting a detail view this will remove permissions from the users that were assigned the detail view from their user role.

Before deleting a detail view, it is recommended to replace the detail view with another for the associated role(s). This ensures the users assigned to the role do not experience any lapse in being able to access/use Kadince.


Detail Views Layout Builder

The Detail View Layout Builder is located within the Detail View Settings. All tabs, sections, and/or fields can be arranged in the preferred order, made required or optional, and/or locked down to prevent any editing.

New tabs and sections can be added from the Detail View layout builder.

Many system fields can be edited from the detail view. Not all system fields can be edited; this will be evident in the three-dot options menus ().

Some changes made to the Detail View Layout are Global and will apply to all Detail Views for that object, while other changes are Local and limited to the selected Detail View.

Global Changes

  • Add a Tab

  • Edit a Field Section Location (moving a field to a different section)

  • Edit a Section Location (moving a section to a different tab)

How to Add, Edit, Hide, or Delete a Tab on a Detail View Layout

  1. Click Settings in the side navigation

  2. Click the entry's parent module in the top navigation

  3. Click the entry's parent object in the sub-tabs

  4. Scroll to Detail Views

  5. Click the title of an existing Detail View

  6. Click the Layout tab

  7. Click the Details sub-tab (default)

  8. Click the pencil () icon

  9. Click the three-dot menu () icon next to a tab

  10. Select an option:

    1. Edit

    2. Add Tab Above

    3. Add Tab Below

    4. Hide

    5. Prevent Editing

    6. Delete

  11. Click the Submit button

  12. Click the Save button in the top right

By default, a new Detail View will show all tabs.

You must be a Company or Module Admin to delete tabs in a Detail View.

How to Edit, Hide, or Delete Sections on Detail View Layout

  1. Click Settings in the side navigation

  2. Click the entry's parent module in the top navigation

  3. Click the entry's parent object in the sub-tabs

  4. Scroll to Detail Views

  5. Click the title of an existing Detail View

  6. Click the Layout tab

  7. Click the sub-tab you want to edit

  8. Click the three-dot menu () icon for the section

  9. Select an option that suits your objective:

    1. Edit Section

    2. Edit Section Fields

    3. Hide Section

    4. Prevent Editing

    5. Move Sections Up, Down, to Top, to Bottom

    6. Add Sections Above, Below

    7. Delete Section

The closed eyelid icon represents a hidden section.

When a section is hidden all the fields within the section are also hidden to the user.

How to Edit, Hide, or Make Required Section Fields on a Detail View Layout

  1. Click Settings in the side navigation

  2. Click the entry's parent module in the top navigation

  3. Click the entry's parent object in the sub-tabs

  4. Scroll to Detail Views

  5. Click the title of an existing Detail View

  6. Click the Layout tab

  7. Select the sub-tab with the section fields you want to edit

  8. Click the three-dot menu () icon next to a section field (note that this three-dot icon is different than the Section menu)

  9. Select an option:

    1. Edit Field

    2. Hide Field

    3. Prevent Editing

    4. Make Required

  10. Click the Submit button

  11. Click the Save button in the top right

Note: Users have sometimes noticed unfamiliar tabs in their Detail View. Remember, tabs can be custom named. Check the Activity log to understand who added tabs and when, and then assess the necessity of said tab.


How to Assign a Role to a Detail View

A role and detail view can be assigned to one another from either of their settings.

Multiple roles can be assigned a detail view, but each role can only have one assigned detail view per applicable object.

  1. Click Settings in the side navigation

  2. Click the Module name in the top navigation

  3. Click the Object name in the sub-navigation

  4. Click the Detail View name from the Detail Views table to open the detail view settings

  5. Click the pencil () icon next to the Associated Roles table to open the Associated Roles window

  6. Select the role from the Associated Roles field dropdown

  7. Click the green Submit button

  8. Click the gray Save button

Assign a Detail View to a Role

  1. Click Settings in the side navigation

  2. Click Accounts in the top navigation

  3. Click the Roles sub-tab

  4. Click the Role name from the Module name table to open the role settings

  5. Click the Detail Views sub-tab

  6. Click the pencil () icon next to the Detail Views table to open the Detail Views window

  7. Click the Detail View name from each applicable object dropdown

  8. Click the green Submit button
